EXECUTIVE ASSISTANT + MARKETING MANAGER HYBRID ROLE

FULL TIME - SF BAY AREA

I’m looking for someone highly motivated, creative, organized, and self-sufficient to step into a hybrid Executive Assistant and Marketing Manager role.

This person will work closely with me across projects centered around events, music, art, and community. The role is a mix of high-level organization, day-to-day coordination, and marketing support — helping manage the moving parts across events, vendors, talent, content, and production days while also assisting with social media scheduling and posting.

A lot of the work can be done remotely, but in-person availability is important, especially around event weeks. On average, expect to be on-site 1–2 weeks out of the month, with some months requiring more depending on what’s going on.

More than anything, I’m looking for someone who is tapped in. Someone with real taste. Someone who understands music, art, culture, internet behavior, and what actually feels current right now. I want someone who has a strong feel for what people are paying attention to, what’s starting to feel played out, what’s rising, and what feels fresh — especially across Gen Z and Millennial audiences. Someone who naturally understands the tone, aesthetics, references, and overall cultural pulse of what’s happening now and what’s coming next.

This is also a fast-paced role, so I’m looking for someone who knows how to use AI tools in a smart and practical way to move faster and work more efficiently. That includes tools like ChatGPT, Claude, or similar platforms for research, writing, planning, organization, and day-to-day support where helpful. A big plus would be someone excited about helping build simple AI-assisted workflows, systems, or agents that can improve internal processes and automate repetitive tasks.

Experience with Photoshop, video editing, and website management is a big plus. Those things are not the core of the role, but being able to handle small creative updates, light design work, or website edits when needed would be very helpful.

The right person is detail-oriented, proactive, reliable, and able to help keep both daily operations and long-term projects moving without needing constant direction.

GENERAL EA / OPERATIONS

  • Coordinate with vendors, artists, staff, and partners for events

  • Attend meetings, assist with preparation, and help with setup when needed

  • Keep track of important documents, project details, and internal information

  • Organize guest lists, RSVPs, and VIP lists

  • Handle day-to-day Executive Assistant tasks and general administrative support

  • Take notes during meetings and help keep the team organized and aligned

  • Monitor inboxes and flag important updates, replies, and action items

  • Book meetings, travel, and manage calendars

  • Provide general organizational support across projects, events, and operations

MARKETING / CONTENT

  • Manage social media posting across multiple platforms

  • Schedule finished content into a content calendar

  • Post content manually to YouTube, YouTube Shorts, Instagram, TikTok, and Facebook

  • Help manage the overall content schedule and keep posting on track

Is this a full-time role?

Yes, this is a full-time role. There will be a probationary period at the beginning to make sure it’s the right fit on both sides.

Where is the role based?

My office is located in Downtown San Jose, and most of our events and work currently happen in San Jose. We also do work in San Francisco and plan to expand more internationally over time.

Is the role remote or in person?

A lot of the work can be done remotely, but there will be times where in-person availability is important, especially around event weeks, meetings, production days, and other key projects.

Can I still travel or have flexibility?

Yes. I fully encourage travel, rest, and having a life outside of work. At the same time, because the in-person part of this role is important and not constant, being available when those in-person needs come up should be taken seriously and treated as a priority.

What is the team like?

Our team is currently small, which means the role is hands-on and collaborative. I’m really looking for someone who wants to join long term, grow with us, and help build something meaningful over time.
